Manual Customer activities

The Customer activities screen reconstructs a customer's entire history as a chronological timeline: their calls, quotes, invoices, delivery notes, orders, purchase orders, cold outreach and meetings, sorted by date and color-coded by type.

Overview

The Customer activities screen is a customer's logbook. From a single selected customer, Swifto pulls up every commercial record concerning them and stacks them on a vertical timeline, from most recent to oldest. No manual entry: the timeline builds itself from documents already created elsewhere (sales, calls, meetings).

Business goal

  • See a customer's entire history at a glance
  • Prepare a visit or a follow-up with the full context
  • Distinguish each type of interaction by color and icon
  • Open the source record without leaving the screen

  • Sales reps — check it before every customer contact
  • Sales manager — oversees the accounts

Position within the module

Customer activities is the module's reading core; Planning feeds what's coming, Calls & reminders feed the past, and Steps & goals qualify each activity.

The chronological timeline

The page displays a vertical chronoline: a central axis, colored dots by activity type, and dated cards on either side. Each card recalls the customer, the responsible and the record's key information. A legend bar recalls the colors.

The 8 activity types

Every line of the timeline belongs to one of these 8 types. The dot's color, its icon and the displayed fields depend on the type.

These 8 types correspond to the detail screens shipped with the application: invoice, quote, delivery note, order, purchase order, cold outreach, meeting and call — each opens directly from its card (see section 8).

Anatomy of a card

Every activity card follows a consistent structure, whatever the type, which makes it easier to read.

Activity statuses

Planned activities (meetings / visits coming from Planning) carry a status that is reflected in the card's dot.

Search & filter

The Search button opens a panel to target the right customer and the right period. It's the first thing to set: the timeline only shows the activities of the chosen customer and interval.

Empty timeline? It's almost always a filter issue: wrong customer, or a period that doesn't cover the dates of the records. Widen the interval.

Opening the details

Every card is clickable: a Details button opens the full view of the source record — the invoice, the quote, the delivery note, the order, the purchase order, the cold outreach, the meeting or the call — without leaving the timeline.

Automatic feed

The timeline is never entered by hand: it aggregates what you create elsewhere in Swifto. As soon as a record is linked to a customer, it surfaces in their activity.

Practical consequence: for a record to appear, it just needs to be properly linked to the customer when it's created. No manual "adding" to the timeline.

Business rules

Chronological sorting — activities are always sorted by descending activity date (the most recent at the top).

Mandatory customer link — a record without a customer cannot appear in a customer timeline.

Color = type — the dot's color is determined by the activity type, never entered manually.

Company-level isolation — each user only sees the customers and activities of their own company.

Real-world scenario

Preparing an appointment with EL MAZRAA

    Before his visit, Mouadh opens Customer activity, selects EL MAZRAA and the month's period.

    The timeline shows: a recent outbound call, a partially paid invoice, a delivery note in progress and a quote to follow up on.

    He clicks Details on the invoice to check the remaining balance.

    He arrives at the appointment with the full context: no redundant questions, a targeted follow-up on the quote and the payment.

FAQ & Tips

My customer's timeline is empty?

Check the selected customer and especially the period in Search — it must cover the dates of the records.

A quote doesn't appear?

It must be linked to the right customer and fall within the displayed date interval.

Tip — a reflex before every contact

Open Customer activity just before a call or a visit: 30 seconds of reading avoids oversights and duplicates.
