Manual Planning

The Customer activity planning screen is a calendar where every appointment is a drag-and-droppable event. You filter by owner, create a task with one click on a time slot, and reschedule it by dragging it.

Overview

Planning organizes the sales reps' upcoming fieldwork: customer visits, quote follow-ups, negotiations, follow-up calls. Each task is placed on a calendar at a date and time, assigned to one or more owners, qualified by a stage and an evaluation score. Once completed, it is reported and flows up into Customer activity.

The calendar

The central screen is an interactive calendar. At the top: the view selector (Day / Week / Month), the owner filter and the navigation arrows. The grid displays appointments as colored blocks according to their stage.

Drag an event to reschedule it — Swifto saves the new date automatically.

The color of a block corresponds to its stage (Prospecting, Presentation, Negotiation, Closing…), configurable in Stages & objectives.

Day / Week / Month views

Three zoom levels on the schedule, depending on what you're preparing.

Day

Hour-by-hour detail of a single day — ideal for preparing a precise route.

Week

Default view — balances the team's workload over the 5 / 7 days.

Month

Overall view — spot peaks and slow days to plan ahead.

The arrows move forward / back one period; the icon returns to today.

Filter by owner

The Owner selector narrows the calendar down to a specific sales rep's schedule. Essential for preparing one person's route or distributing visits fairly.

The same task can have multiple owners (a visit with two sales reps): it then appears on each one's schedule.

Create a task

Click a time slot on the calendar (or New): a window opens to enter the details of the planned activity.

Drag and drop

The strength of the screen: moving an event to another slot reschedules it instantly, and stretching it changes its duration. The scheduled date is updated in the database immediately — no manual confirmation needed.

Move = reschedule

Drag the block to another day / another time. The new date is saved right away.

Stretch = change duration

Pull the bottom of the block to lengthen or shorten the appointment.

Drag and drop modifies the database directly: an accidental move actually reschedules the visit. Check the block after releasing it.

Complete & report

After the visit, open the event and change its status. This is what moves the task from "planned" to "completed" and pushes it up into the timeline.

Choosing Cancelled or Rescheduled opens a mandatory Reason field; "Rescheduled" also requires a new date and a new stage.

Lifecycle

A planned activity always follows the same cycle, from creation to reporting.

Business rules

Drag and drop = rescheduling — moving an event updates its scheduled date in the database immediately.

Reason required — switching to Cancelled or Rescheduled requires a reason; "Rescheduled" also requires a new date and a new stage.

Score out of 3 stars — every completed activity is rated to prioritize high-potential accounts.

Multiple owners — a task can be assigned to several sales reps and appears on each one's schedule.

Company-level isolation — you can only plan and see the customers and sales reps of your own company.

Real-world scenario

Mouadh's week as a sales rep

    Monday — he opens Planning, filters on his name and places 4 visits with a click on the calendar, setting the stage (Presentation, Negotiation…).

    Tuesday — at EL MAZRAA, he completes the visit, sets the status to Validated, enters the report and rates it ★★★.

    Wednesday — ECAR shifts: Mouadh drags the event to Thursday 11am. The date updates automatically.

    Friday — his manager filters on Mouadh and sees a full week; the EL MAZRAA ★★★ visit is already visible in Customer activity.

FAQ & Tips

My calendar is empty?

Check the owner filter (it may be pointed at another sales rep) and the displayed period.

I moved an event by mistake?

The move is saved right away: simply drag the block back to its original spot.

Tip — balance the workload

Go through the owner filter for each sales rep one after another to spot who's overloaded and smooth out the week's visits.
