Commercial Activity Manual
The Commercial Activity module drives the field work of your sales reps: the customer interaction timeline, appointment planning on a drag-and-drop calendar, the stages & objectives of each visit, and tracking of phone calls & reminders.
Overview
The Commercial Activity module centralizes everything your sales reps do with customers. Every call, quote, invoice, delivery note, order, purchase order, cold media or meeting / visit automatically flows into a per-customer timeline. At the same time, you plan upcoming field tasks on a calendar and track their stage and their rating.

Automatic population
You have nothing to re-enter in the timeline: as soon as a quote, an invoice, a delivery note or a call is created for a customer, it appears automatically in their commercial activity, sorted by date.
Access and navigation
Left-hand side menu: Commercial Activity (clock icon). The submenu gives access to Customer Activity, Planning and the phone screens.
The PVT Visits and Points of Sale screens also appear in this menu but are covered by a dedicated manual (field sales / merchandising) — they are not covered here.
Customer activities
The Customer Activity screen displays, as a vertical timeline, all of a customer's interactions sorted by date. Each card is color-coded and iconed according to the activity type. The Search button lets you filter by customer, type and period.

The Details button at the bottom of each card opens the full view of the activity (the invoice, the quote, the call, the meeting…) directly from the timeline.
Planning
The Customer Activity Planning screen is a calendar (Day / Week / Month view) where every appointment is a drag-and-droppable event. You filter by responsible (sales rep), create a task with one click on a time slot, and simply move it to reschedule.

Drag an event to reschedule it — Swifto saves the new date automatically.
New task
Click on a calendar slot (or the New button): choose the task, the stage, the category/customer, the date, the responsible(s) and the score.
Drag and drop
Move an event to another slot to reschedule it, or stretch it to change its duration. The date is updated instantly.
Responsible filter
Display a specific sales rep's schedule to balance workloads or prepare a route.
Parallel timeline
A side chronological feed summarizes the planned tasks with their stage and their star score.
Stages & objectives
Every planned activity carries a stage (progress within the sales cycle), an objective (entered when the meeting / visit is created) and a rating score out of 3 stars that measures the quality of the contact. These three elements drive the tracking of sales objectives by customer and by sales rep.
The stage
Position of the activity in the pipeline (e.g. Prospecting, Presentation, Negotiation, Closing). Each stage has its own color in the calendar and the timeline. The list of stages is configurable.
The rating score
A rating of 1 to 3 stars given to the activity (quality of welcome, customer interest, potential). It shows up in the planning timeline to spot the most promising visits at a glance.
Statuses of a planned activity

Selecting the Canceled or Rescheduled status opens a mandatory Reason field. For "Rescheduled", you additionally enter the new date and the new stage.
Phone calls & reminders
Two list screens, identical in how they're used: Phone Calls (the log of calls made / received) and Phone Reminders (reminders to make). Each call is classified by type, reason, customer, responsible and date.

The list is filtered via Search (status, customer, type, reason, period) and exports to PDF or Excel. Calls created here also flow into the Customer Activity timeline (section 3).
Lifecycle (workflow)
A commercial activity always follows the same cycle: it is planned, carried out (visit or call), a report is written, then follow-up is ensured (callback, quote, rescheduling).

Automatic timeline — any commercial document (quote, invoice, delivery note, order, purchase order, call, meeting) for a customer flows into their activity without re-entry, sorted by date.
Drag-and-drop = rescheduling — moving an event in the calendar immediately updates its planning date in the database.
Mandatory reason — an activity set to Canceled or Rescheduled requires a reason; a "Rescheduled" activity also requires a new date and a new stage.
Score out of 3 stars — every completed activity is rated to prioritize high-potential accounts.
Company-level segregation — each user only sees the customers, sales reps and activities of their own company.

FAQ & real-world scenario
My customer's timeline is empty?
Check the filters in Search: is the right customer selected, and does the period actually cover the dates of the activities?
My call doesn't appear in the customer activity?
The call must be linked to a customer (mandatory field on entry) and fall within the displayed date window.
Tip — filter by responsible
In planning, select a sales rep to view only their route and balance the team's workload.
Real-world scenario — Mouadh's week, sales rep
- 1Monday — Mouadh opens Planning, filters on his name and schedules 4 visits for the week with one click on the calendar, setting the stage (Presentation, Negotiation…).
- 2Tuesday — at EL MAZRAA, he carries out the visit, sets the status to Validated, enters the report and rates it ★★★.
- 3Wednesday — the ECAR appointment gets pushed back: Mouadh drags the event to Thursday 11 AM. The date updates automatically.
- 4Thursday — he logs an outgoing follow-up call for SOTUMAG (type Order follow-up, duration 6 min).
- 5Friday — his manager opens EL MAZRAA's Customer Activity and sees, on a single timeline, the ★★★ visit, the quote sent and the partially paid invoice. Follow-up closed.
