Surveys Dashboard Manual
Field survey analysis: answers collected, submissions and questions analysed, with a rendering adapted to each question type — free answers included.
Overview
The Surveys dashboard reports the answers collected in the field. Its specificity: it does not offer a fixed list of charts, but one visual per question, chosen automatically from the question type — a donut for a yes/no, bars for a multiple choice, verbatims for a free answer, min/max/average for a numeric value.
Purpose
- Analyse a survey without an Excel export
- Compare answers question by question
- Read free-text answers (verbatims)
- Measure the collection rate
Audience
- Product manager — field feedback
- Sales management — presence, hygiene, satisfaction
- Marketing / quality — answer analysis
Surveys are collected by sales reps from Swifto CRM Mobile during visits, then reported here. The questionnaires themselves are designed in the sales activity settings.
Access and navigation
Side menu: Sales activity → Surveys dashboard.
Read-only access, subject to the profile's read right.
Collection indicators
Three counters set the volume before any analysis: without enough answers, percentages mean nothing.
| Indicator | Meaning |
|---|---|
| Answers collected | Total number of individual answers, across all questions. |
| Submissions | Number of questionnaires actually completed and uploaded. |
| Questions analysed | Number of questions in the selected questionnaire that received at least one answer. |
A large gap between submissions and the number of completed visits (see the Meetings Dashboard) indicates the survey is not systematically completed in the field.
Selecting the survey
The Search dialog requires choosing a questionnaire, then a range of creation dates.
Search
The dashboard analyses one questionnaire at a time. That is deliberate: two questionnaires share neither the same questions nor the same scale, so aggregating them would be meaningless.
The range applies to the answer's creation date, that is the moment of field collection — not the mobile device's synchronisation date.
One visual per question type
This is the core of the screen. Each question is rendered with the representation that suits it.
| Question type | Rendering | Reading |
|---|---|---|
| True or false | YES / NO donut | Share of each answer and total. |
| Single choice | Donut of the options | Split between exclusive options. |
| Multiple choice | Horizontal bars | Number of answers per option; the total exceeds the number of submissions. |
| Content (free text) | List of verbatims | The answers exactly as they were entered. |
| Numeric | Indicators + chart | Minimum, Maximum and Average of the entered values. |
| Date | Histogram | Distribution of the answered dates. |
Each visual shows, as relevant, the value, the share, the total and the rank of the answer, plus the number of distinct answers.
Free answers (verbatims)
Content questions are not summarised: they are shown as a list of the entered answers.
“More facings on the main shelf.”
“An up-to-date paper catalogue for the rounds.”
“Improve after-sales responsiveness.”
Verbatims are the richest part of a survey: read them before the percentages. A word recurring in ten free answers is often worth more than an option ticked by 60%.
No automatic aggregation is performed on free text: there is no word cloud and no semantic analysis. Reading stays manual.
No data
When no answer exists for the selected questionnaire and range, the screen explicitly reports the absence of data.
| Message | Likely cause |
|---|---|
| No data available | No answer over the selected range for this questionnaire. |
| No answer | The question exists but nobody filled it in. |
These messages are normal states, not errors. Check the date range first, then whether data has been uploaded from the mobile devices.
FAQ & Tips
The answer total exceeds the number of submissions?
That is normal on a multiple-choice question: one respondent can tick several options.
A question does not appear anywhere?
It received no answer over the range. It will reappear with the first collected answer.
I cannot find the answers entered yesterday?
Mobile synchronisation may not have happened yet. The range applies to the collection date, but the data must be uploaded to be visible.
Can I compare two questionnaires?
Not on the same screen: select them one after the other. Two different questionnaires share neither the same questions nor the same scales.
Tip — making the most of a survey. Check the number of submissions first (representativeness), then read the verbatims (the meaning), and only at the end the percentages (the measurement).
