Sales & Invoicing

From quote to collection: Swifto's complete sales cycle. The Sales module chains quote / proforma, customer purchase order, delivery note and invoice, tracking at every step the remaining to deliver, the remaining to invoice and the remaining to collect, with Tunisian taxation and electronic invoicing.

Overview

The Sales module drives the entire commercial relationship with the customer, from the price proposal through to collection. Each document generates the next one: an accepted quote becomes a purchase order, the goods go out on a delivery note, then the invoice materializes the receivable. At each conversion, Swifto automatically carries the lines forward and updates the remaining quantities — so that no line is ever delivered or invoiced twice.

Interaction with other modules

Sales draws on items and stock (each delivery note decrements stock), relies on the customer record, and feeds Finance — each validated payment creates an entry in the relevant account journal.

Access and navigation

Left-hand side menu: Sales. The submenu groups the dashboard, quotes / proforma invoices, purchase orders, delivery notes, invoices, payments received, credit notes and declarations.

The selected screen (quotes, invoices, payments received…) opens on the right after the click.

Sales reference data (sale types, credit note reasons, numbering prefixes, taxes) is configured from Settings. The Sales submenu exposes the operational entry and tracking screens.

The sales cycle

The standard cycle chains four documents. You can start at any step — a direct sale creates the delivery note or invoice directly — but the natural order guarantees the best traceability. At each conversion, Swifto carries the lines forward and calculates the remaining quantities.

The cycle's four documents

The three "remaining" balances

At each step, a line may only be partially processed. Swifto then tracks: the remaining to deliver (order not yet shipped), the remaining to invoice (delivered but not yet invoiced) and the remaining to collect (invoiced but not yet settled). A document is settled when its remaining balance falls to zero.

Invoicing & taxation

The sales invoice automatically calculates the amount excl. tax, the VAT by rate, the fiscal stamp duty and, where applicable, the withholding tax. Swifto complies with Tunisian taxation: configurable VAT rates, stamp duty on invoices, withholding tax deducted on payment for the parties concerned.

Tax components of an invoice

Fiscal stamp dutyAdded to the invoice according to the tax settings; a fixed amount per document.
Withholding taxDeducted for the customers concerned (configurable rate); reduces the net amount to collect.
Exempt customerA customer with a VAT exemption has their invoice calculated with VAT at 0.
Invoice in foreign currencyAmounts in the customer's currency, with conversion and tracking of the applied rate.

Electronic invoicing — TEIF / El Fatoora

Swifto generates the invoice in the standardized TEIF format, signs it electronically and enables its submission to the national El Fatoora platform, in compliance with Tunisian regulations.

Payments received & receivables

Once the invoice is issued, the module tracks the remaining to collect. You record payments (cash, cheque, bank transfer, bill of exchange), manage customer advances using the "reserve + drawdowns" model, combine several methods in a multi-payment, and process credit notes in case of returns.

Payments received & advances

Full or partial payment of a delivery note / an invoice; an advance forms a reserve that is drawn down as cases proceed.

Multi-payment

A single payment can combine several methods (e.g. part in cash, the rest by cheque), with an account and a supporting document per line.

Collection tools

Business rules

Automatic carry-forward — converting a quote into an order, an order into a delivery, or a delivery into an invoice carries the lines forward and recalculates the remaining balance; a line is never delivered or invoiced beyond the planned quantity.

Stock & delivery — it is the delivery note (not the invoice) that decrements stock; a direct sales invoice automatically generates its associated delivery note.

Numbering & deletion — each document receives a sequential number. Only the last document can be deleted (counter decremented), and only if it has been neither settled nor declared.

Correct via credit note — an issued and settled invoice cannot be freely modified: issue a sales credit note to trace the return / cancellation and preserve the consistency of receivables and stock.

FAQ & Tips

Can I invoice without going through a quote?

Yes. A direct sale creates the delivery note or invoice directly. Going through a quote / order remains recommended for prepared sales and for tracking remaining balances.

A delivery note remains "to invoice"?

As long as the invoice is not issued, the delivery note shows a remaining to invoice. Generate the invoice from the delivery note to settle the line — several delivery notes can be grouped onto the same invoice.

How do I correct an error on an already settled invoice?

Issue a sales credit note that cancels or corrects the invoice: the returned stock is put back in and the customer is credited, without altering the original document.

Tip — settle continuously

Invoice deliveries and collect invoices regularly: balances at zero give reliable revenue figures and well-controlled customer collections.
