Manual Visit planning

Visit planning organizes the Van Sales module's routes as a calendar: you schedule which seller-field seller visits which customers, and on which date. Each scheduled visit is pushed down to the Swifto Seller mobile application.

Overview

Visit planning is the starting point of a van sales day. This is where the seller's sales itinerary is built: the ordered list of customers to visit, with a date and a time for each one. The calendar embodies the route and then serves as a route sheet for the seller in the field.

Position within the module

Planning relies on Customers by seller (territories) and precedes the Issue note (loading). Overview: Van Sales module.

The route calendar opens on the right after the click.

The screen is based on the web page plannificationVisiteVendeurClient. First choose a seller in the filter at the top to display their route.

The route calendar

The selected seller's route is displayed on a calendar. Each card is a customer visit with its time. Navigate week by week with the arrows, or switch between Day / Week / Month views.

Calendar elements

ElementDescription
Seller filterSelects the seller-field seller whose route is being displayed / built.
Navigation◄ ► arrows to change the period (day, week or month).
ViewSwitches between Day / Week / Month depending on the level of detail wanted.
Visit cardA customer visit: customer name + scheduled time (amber color).
Empty cellFree slot: a click opens the scheduling form.

One seller at a time

The calendar displays the route of a single seller. To compare multiple territories, change the seller in the filter — each route remains segmented by seller.

Action bar & filters

Schedule

Opens the visit creation form (section 6).

Seller filter

Displays the chosen seller's route; empties the calendar if none is selected.

Day / Week / Month view

Changes the display granularity of the route.

Period navigation

Moves forward or backward in time to prepare upcoming routes.

Click a card to see the customer, the time, the visit objective and the assigned seller.

Drag & drop

Drag a visit to another day / slot to reorganize the route without recreating it.

Delete a visit

Removal

Removes the visit from the route. The customer will no longer appear in the seller's route sheet for that date.

Schedule a visit

Click Schedule (or a calendar cell). Choose the customer, the date / time and the objective, then save: the visit appears in the route and syncs to mobile.

Customers offered

The list of customers offered corresponds to the seller's portfolio (see Customers by seller). First assign the customer to the seller to find them here.

Reorganize the route

A route is never set in stone. The calendar makes it possible to reorganize it in a few gestures to absorb the unexpected (customer unavailable, traffic jam, business priority).

Drag

Move a visit to another day or slot.

Reschedule

Push a missed visit to the next day.

Re-sync

Every change is pushed back down to Swifto Seller.

Tip — group visits from the same neighborhood into the same half-day to reduce travel and increase the number of customers covered.

Mobile synchronization

Scheduled visits are pushed down to the seller's Swifto Seller mobile application: they find their route sheet for the day, open each customer, record the sale (or the no-sale) and everything then flows back up into Sales reports.

Business rules

Named route — a visit is always attached to one seller and one customer. The customer must belong to the seller's portfolio to be schedulable.

Free rescheduling — as long as the visit has not been completed, it can be moved, postponed or deleted; the change syncs to mobile.

Field traceability — every completed visit feeds the Sales reports (sale or no-sale with reason).

Segmented by seller — a seller only sees their own route. Planning never mixes the territories of multiple sellers.

FAQ & Tips

The calendar is empty?

Check that a seller is selected in the filter and that you are on the right period.

A customer is not offered for scheduling?

They are not assigned to the seller. Attach them in Customers by seller.

Tip — plan a week ahead

Build the routes at the end of the week for the following one: the seller starts each day with a clear route sheet on Swifto Seller.
