Manual Stock dashboard
Inventory tracking: valuation, quantities, active references, shortages / below threshold, movements and expiry alerts. The indicators adapt to the management mode (simple or advanced by batch/expiry).
Overview
The Stock dashboard gives a real-time view of inventory: how much the stock is worth, how many units and active references there are, which references are in shortage or below threshold, and — in advanced management — which batches are approaching their expiry date. It also reports the flows (inflows / outflows) and the valuation by nature and by location.
Goal
- Value tied-up stock
- Prevent shortages
- Anticipate expiries
- Track inflows / outflows
Target audience
- Logistics / warehouse
- Procurement
- Finance — valuation
The 4 strategic stock KPIs (value, shortage, returns, expiry) also feed into the Global dashboard.

Stock scoreboard
Six KPIs: stock value, total quantity, active references, items in shortage, below threshold and batches nearing expiry.
| Indicator | Meaning |
|---|---|
| Stock value | Total valuation (at cost or at selling price, depending on the chart). |
| Total quantity | Sum of the quantities in stock across all references. |
| Active references | Number of distinct references (sales + purchasing) present in stock. |
| In shortage | References at zero quantity (to be replenished urgently). |
| Below threshold | References that have dropped below their minimum alert threshold. |
| Nearing expiry | Batches whose expiry date is approaching (advanced stock). |
Alerts: shortage, threshold, expiry
Shortage — items at zero quantity, highlighted in red. To be replenished without delay.
Below minimum threshold — quantity has dropped below the stock line's alert threshold: an order needs to be prepared.
Expiry alerts — expired batches or batches nearing expiry (≤ 2 days = urgent, 3-5 days = near). To be cleared as a priority. Advanced stock only.
Valued defective returns — value of defective returns by item, valued at the ex-works price. See stock return notes.
Monthly flow (inflows/outflows)
The grouped bar chart contrasts, month by month, inflows (procurement) and outflows (sales, transfers, issue-note picking…) to visualize stock rotation.
A month where outflows > inflows repeatedly signals upcoming strain: adjust your procurement.
Stock status (donut)
The "Stock status" donut splits references into three groups: available, below threshold and shortage — the quickest read of overall availability.
Value & production
Two complementary analyses: purchase vs sale value (tied-up cost vs market valuation) and production yield: intact vs defective.
Other available charts
| Chart | Reading |
|---|---|
| Movements by type | Procurement, sale, clearance, stocktake, transfer, return note… |
| Value by location / category | Where the tied-up value is concentrated. |
| Top items by quantity | Most-stocked items. |
| Expiry buckets | Expired, expires ≤ 2 days, expires 3-5 days (advanced stock). |
Simple vs advanced mode
The dashboard adapts to your company's management mode. In simple mode, cards and charts related to batches / expiry are hidden; in advanced mode, they appear.
- Value, quantity, references
- Shortage & below threshold
- No expiry alerts
- Everything in simple mode
- Expiry alerts & expiry buckets
- Batch tracking
Calculation rules
References — counted distinctly between sales and purchasing items (the same quantity is not counted twice).
Shortage / below threshold — determined stock line by stock line, based on the quantity and the minimum alert threshold defined on the item.
Defective returns — valued at the item's ex-works price.
Expiry — buckets: expired, ≤ 2 days (urgent), 3-5 days (near). Reserved for advanced stock.
FAQ & Tips
Expiry alerts aren't showing?
Your company is on simple stock. Expiry dates are only tracked in advanced management (by batch / expiry).
A reference in shortage is still visible for sale?
The shortage KPI reflects the zero quantity; the check at delivery time depends on the Stock module's configuration.
Tip — procurement routine
Filter weekly on shortage + below threshold to build your replenishment list, and clear batches nearing expiry first.
