Manual Stock valuation
The valuation gives the monetary value of your stock. A sales stock is valued at the item's ex-works price; a purchasing stock (advanced management) at the rolling weighted average cost (CUMP), recalculated on every receipt. It aggregates the stock value, isolates defective returns, and cross-references stockouts and alerts in the Stock dashboard.
Overview
The stock valuation translates what you physically hold into value (TND). For each item, Swifto multiplies the available quantity by its ex-works price (cost price / valuation set on the item record). The result feeds the KPIs of the Stock dashboard and the global dashboard.
Business goal
- Know the value tied up in stock
- Quantify losses linked to defective returns
- Track stockouts and threshold alerts
- Feed the company's global dashboard
Target audience
- Management — value and oversight
- Accounting — accounting valuation
- Warehouse staff — alerts & stockouts
Position within the Stock module
The valuation builds on the levels of the Stock module and the value of defective returns. The ex-works price is set on the Item record.
Access and navigation
The valuation indicators appear in the Stock dashboard (menu Stock → Stock dashboard) and are carried over to the Global dashboard.
Ex-works price
The ex-works price is the item's cost price / valuation, set on its record (Items module). It is the single basis for the entire valuation: stock value, defective returns, valuation of incoming supplies.
Fill in the ex-works price — without this value on the item record, the quantity is counted but its value comes out at 0: the valuation would be understated.
Stock value
The stock value aggregates, per item, the available quantity multiplied by the ex-works price. It is the central valuation indicator.
| Item | Avail. Qty | Ex-works price | Value |
|---|---|---|---|
| SMART SUPERVISOR MODULE | 92.000 | 420.000 | 38,640.000 TND |
| SMART BUS CABLE 5M | 380.000 | 12.500 | 4,750.000 TND |
| IR PRESENCE SENSOR | 240.000 | 35.000 | 8,400.000 TND |
| Total valued | 128,300.000 TND | ||
The value is calculated on the available quantities at the time of calculation. Every movement (sale, issue, return, stocktake) changes it.
Defective returns
Return notes of a defective nature do not go back into sellable stock, but their value is tracked separately (at the ex-works price): it is a loss / breakage indicator to monitor.
Formula · Defective returns value = Σ ( defective returned quantity × ex-works price ).
Quality indicator — a rising defective returns value signals a problem (transport, handling, supplier): cross-reference it with the return notes' reasons.
Stockouts & alerts
Beyond value, monitoring cross-references availability indicators: items out of stock and items below the minimum threshold (nearly depleted).
| Level | Condition | Valuation reading |
|---|---|---|
| Available | Quantity > minimum threshold | Contributes fully to value |
| Below threshold | 0 < Quantity ≤ threshold | Low value — needs replenishing |
| Stockout | Quantity = 0 | Zero value — sales risk |
The detail of alert levels is described in Stocks & levels.
Calculation formulas
The valuation basis depends on the nature of the stock: a sales stock is valued at the item's ex-works price; a purchasing stock (advanced management) at the rolling weighted average cost (CUMP).
Stock value (sales) = Σitems ( available quantity × ex-works price ).
Rolling CUMP (purchasing) = ( existing quantity × old cost + received quantity × purchase price excl. tax ) ÷ ( existing quantity + received quantity ). Components with a zero price are ignored.
Total value of a purchasing stock = Σlines ( quantity × CUMP unit cost ).
Defective returns value = Σ ( defective returned quantity × ex-works price ).
Items out of stock = number of items whose available quantity = 0.
Nearly depleted = number of items with 0 < quantity ≤ minimum threshold.
CUMP recalculated from history — on every receipt (delivery note or purchase invoice), Swifto replays the item's movements to recalculate an exact average cost, including after a document is edited or deleted; the total stock value is updated automatically.
All values are in TND (3 decimals). CUMP only applies under advanced stock management; in simple mode, valuation at the ex-works price applies.
Stock dashboard
The Stock dashboard brings together at the top KPI cards for valuation and availability, mode-aware (expiry alerts only appear under advanced management).
The Expiry alerts card only appears for companies using advanced stock management (batch + expiry date). These KPIs are also carried over to the Global dashboard.
Movement impact
Every stock movement changes the available quantity, and therefore the value. Here is how the main movements affect the valuation.
| Movement | Effect on quantity | Effect on stock value |
|---|---|---|
| Supply (0) | + | Increases the value |
| Sale (1) | − | Decreases the value |
| Issue note (8) | − | Decreases the value (on the source stock) |
| Intact return note (11) | + | Increases the value |
| Defective return | 0 | No stock impact — valued separately |
| Stocktake (6) | ± | Aligns the value with the actual count |

Business rules
Basis = ex-works price — the entire valuation rests on this item-record price; it is not the sale price.
Defective items stay out of stock — defective returns never go back into the sellable stock value; they are valued on a separate indicator.
Real-time value — the valuation follows the available quantities: it changes with every validated movement.
Mode-aware — expiry alerts are only shown under advanced management (batch + expiry date); in simple mode, only value / stockout / defective are relevant.

Usage scenarios
Month-end closing
At the end of the month, management reads off the stock value (128,300 TND) for the accounting valuation and compares it with the previous month.
Loss tracking
The rise in defective returns (2,450 TND) triggers a review of the return reasons and the carrier concerned.
FAQ & Tips
My stock value looks too low?
Check that the ex-works price is filled in on every item record: without it, the item's value comes out at 0.
Why doesn't a return increase the value?
It is probably of a defective nature: it is valued separately and does not go back into the sellable stock.
Tip — make it reliable with stocktakes
An accurate valuation assumes accurate quantities: schedule regular stocktakes to align theoretical and actual stock.
