Manual Settlements & reconciliations

Bank reconciliation consists of matching, in the journal, the movements that actually appear on the bank statement. Added to this are deposit slips, AGIO, and tracking of the account variance.

Overview

Bank reconciliation ensures that the balance kept in Swifto matches the bank's actual balance. Each journal entry present on the bank statement is matched; entries not yet seen remain orange. Slips group the deposits made (cheques, cash), and AGIO entries let you record the bank fees that widen the account variance.

Where does matching take place?

Matching is done from the account journal: you select the bank lines and then match them. Updated balances can be read in the account overview.

Matching states (status dot)

Each bank line in the journal carries a status dot that indicates its state relative to the statement:

Status dotMeaning
GreenMovement identified on the bank statement (reconciled / matched).
OrangeBank movement not yet matched (pending on the statement).
GreyNon-bank account (cash register) — not affected by reconciliation.

An account reconciled 100 % has no orange dot over the period: every bank entry is found on the statement.

Match a movement

Select the bank lines found on the statement, then click Match: their dot turns green.

Only bank account lines can be matched. Cash register lines (grey dot) are ignored by the matching operation.

Bank slips

The Bank slips screen groups the deposits (cheques, cash) paid into the bank. It helps reconcile what was received on the sales side with what is credited to the account.

Post-dated cheques to be cashed later also feed into payment schedules; once credited, they are matched on the bank account.

AGIO & bank fees

The AGIO (debit interest, commissions, account-keeping fees) charged by the bank is entered in the AGIO screen. It creates a disbursement on the bank account (origin AGIO) and adjusts the actual balance.

AGIO / debit interest

Cost of an overdraft or an advance; charged periodically by the bank.

Fees & commissions

Account-keeping fees, transaction commissions, fees on bills of exchange.

AGIO not entered is the most frequent cause of a variance between the Swifto balance and the bank statement. Enter it as soon as the statement arrives.

Account variance

Comparing the theoretical balance (derived from expected entries) with the actual balance (observed) reveals any variance to investigate.

Formula

Variance = Theoretical balance − Actual balance. A zero variance = a perfectly reconciled account.

Full reconciliation procedure

Get the bank statement

Download the statement for the period from your bank (BIAT, Attijari, UIB…).

Open the account journal

Filter the journal on the relevant account and month.

Match the entries found

Tick the lines present on the statement, then click Match (they turn green).

Enter AGIO & fees

Record the bank fees from the statement not yet present in Swifto.

Check the variance

Verify that the actual balance = the statement balance. Investigate the lines that remain orange.

Business rules

Matching reserved for bank accounts — only bank account lines can be matched; cash register accounts (grey) are excluded from reconciliation.

AGIO = disbursement — entering an AGIO creates a disbursement entry (origin AGIO) and decreases the account's actual balance.

Account variance — theoretical vs actual balance; a zero variance confirms a complete reconciliation for the period.

Do not force matching — only match entries that are genuinely present on the statement; incorrect matching hides a real variance.

FAQ & Tips

My balance doesn't match the bank?

Match the movements: orange lines are entries not yet seen on the statement. Also check for unentered AGIO and bank fees.

Why can't a cash register line be matched?

Cash register accounts (grey dot) don't go through the bank: they are outside the scope of bank reconciliation.

Tip — regular reconciliation

Match the movements every time a statement arrives: an up-to-date journal gives a reliable treasury position and a minimal account variance.
