Manual Movements & history
The Accounts journal tracks every transaction in the treasury: its origin (sale, purchase, salary, AGIO…), its direction (payment received +, payment made −), its amount, its date and its matching status.
Overview
Every financial transaction in the company generates a journal line linked to an account. Entries are created automatically by business documents (an invoice payment received, a supplier payment, a salary…) or manually via a movement (deposit, withdrawal, transfer). The journal is fully traceable: every line refers back to its source document.
Business goal
- Track the history of all incoming and outgoing money
- Identify the origin of each transaction
- Prepare the bank reconciliation
- Export the journal (PDF / Excel)
Target audience
- Treasurer — monitors flows daily
- Accounting — reconciles and controls
- Audit / control — checks traceability
Where do the entries come from?
The journal consolidates flows from Payments received (sales) and Payments (purchases), salaries, fleet expenses (fuel, oil changes, maintenance) and manual movements entered from the accounts overview.
Access and navigation
Left-hand side menu: Finance → Accounts journal. (Or via the magnifying glass on a row of the accounts overview, filtered on the chosen account.)
Accounts journal
The journal lists the transactions, their account, their label, their origin, the operation's direction, the date and the amount. The status dot in the first column indicates the matching status (green / orange / grey). The month filters and the Search refine the display.

Journal columns
| Column | Description |
|---|---|
| Status dot | Matching status: green (reconciled), orange (pending match), grey (cash register, outside reconciliation). |
| Account | Bank or cash-register account affected by the transaction. |
| Label | Description of the entry (document reference, reason…). |
| Origin | Document that generated the entry (invoice, salary, AGIO… — section 5). |
| Operation | Direction: Received (+), Paid (−), Deposit (+), Withdrawal (−), Transfer. |
| Date | Date of the transaction. |
| Amount | Green if the balance increases, red if it decreases. |
Direction of operations
Five operation types determine the effect on the balance. The Payment received and Deposit operations increase the balance (green); Payment made and Withdrawal decrease it (red); Transfer acts on two accounts.
| Operation | Effect on balance | Example |
|---|---|---|
| Payment received (+) | Increases the balance | Settlement of a customer invoice |
| Payment made (−) | Decreases the balance | Payment to a supplier, salary, AGIO |
| Deposit (+) | Increases the balance (receiving account) | Bank deposit, cash contribution |
| Withdrawal (−) | Decreases the balance (source account) | Cash withdrawal |
| Transfer | Debits one account, credits the other | Cash register → bank transfer |
A Transfer takes the form of two journal lines: a Withdrawal on the source account side and a Deposit on the destination account side.
Movement origins
Each transaction is linked to its source document, which makes the journal fully traceable. Swifto distinguishes 15 origins (plus Other):
Filtering the journal by origin (via Search) quickly isolates, for example, all the AGIO for the quarter or all the salaries for the month.
Enter a manual movement
From the accounts overview, the Movement button opens the entry window. Choose the type (deposit, withdrawal, transfer), the account(s), the amount and the date.
New account movement
A Transfer between accounts in different currencies requires entering the amount in each currency (amount withdrawn on the source side, amount credited on the destination side).
Filters & search
Filter by month
The month tabs (January → December) restrict the journal to the chosen period.
Advanced search
Filters by account, currency and period (start date → end date).
PDF export
Outputs the filtered journal to PDF (internal statement).
Excel export
Exports the rows for analysis or offline reconciliation.
Matching & detail
The button in the toolbar lets you match the selected bank movements (reconciliation). The magnifying glass on each row opens the transaction detail and its source document.
Green
Movement identified on the bank statement (reconciled).
Orange
Bank movement not yet matched (pending).
Grey
Cash-register account — not subject to reconciliation.
Matching is detailed in Settlements & reconciliations; upcoming items due appear in the payment schedules.

Business rules
Automatic balance — every payment received credits, every payment made debits the account; the real balance is recalculated in real time.
Transfer = double entry — a transfer generates a withdrawal on the source account and a deposit on the destination account.
Matching reserved for bank accounts — cash-register lines (grey dot) are excluded from reconciliation.
Traceability — every movement remains linked to its source document. Cancel the source document rather than editing the journal directly, so as not to desynchronize the balances.

FAQ & Tips
A transaction does not appear in the journal?
Check the active month filter and the Search (account / currency / period). The source document must also have been validated to generate the entry.
How do I move money from the cash register to the bank?
Movement button → Transfer type: source account (Withdrawal) = cash register, destination account (Deposit) = bank, then the amount.
Tip — enter AGIO regularly
Record AGIO and bank fees as soon as you receive the statement: the real balance stays accurate and the account discrepancy minimal.
