Manual Deals / Sales cycle
The Deals module is Swifto's sales pipeline. It lets you track a deal (opportunity) from its detection through to the win or loss, attaching quotes, meetings and follow-up notes along the way.
Overview
A deal (or sales cycle) represents a commercial opportunity identified with a customer, a prospect, or through a referrer. Unlike a one-off quote, the deal lives over time: it moves through successive stages (from detection to negotiation), aggregates an estimated amount, and gathers all sales traceability (quotes sent, meetings held, exchange notes) before concluding in a win or a loss.

Access and navigation
Left-hand side menu: Deals. The submenu gives access to the Cycle dashboard, Deals, Quotes, Meetings, Documents and Notes, as well as Settings (teams, origins, partners, loss reasons, cycle stages).
The module's Settings submenu hosts the essential configuration: Cycle teams, Deal origins, Partners & positions, Loss reasons and Meeting objectives. Configure them before the first deal.
Deals / opportunities
The Deals list is the heart of the module. Each row shows the deal's label, its origin, the customer, the start / end dates, the responsible team and the current stage (status) — shown as a colored dot using the stage's configured color.

Cycle quotes
Cycle quotes are the sales proposals attached to deals. They follow their own status cycle (from preparation to approval) and feed the deal's remaining to invoice. Each quote can be exported as PDF.

Statuses of a cycle quote

The Remaining excl. tax column (red as long as it is > 0) shows the portion of the quote not yet converted. A fully invoiced approved quote shows 0.000.
Meetings
Meetings track the appointments held around a deal: date, objective, internal team members present, partner contacts and customer. Each meeting carries a description that serves as the minutes.

Always fill in the description (minutes): it is the record that lets a colleague pick up the deal without losing any information.
Notes & exchange history
Notes form the tracking log of a deal: each note records a free-form observation, the author and the date. They let you reconstruct the complete timeline of exchanges (call, email, visit, follow-up…).

Pipeline workflow
A deal moves stage by stage. The stages (table EtatCycleDeVente) are configurable: each one carries a rank, a color, and an "allows loss reason" flag. The deal also carries a closing status: Not yet, Won or Lost.

Deal closing status
| Status | Meaning |

| Not yet | Deal in progress, outcome undecided — it is progressing through the pipeline. |
| Won | Opportunity won; leads to an approved quote and then an order. |
| Lost | Opportunity lost; a loss reason is required (sales analysis). |
Business rules
Configurable stages — the cycle stages are defined per company (rank + color). The first stage (rank 1) is proposed by default when creating a deal.
Mandatory loss reason — as soon as a stage with "allows loss reason" is selected, entering a reason becomes required. It is impossible to mark a deal as lost without stating why.
Management by owner or by team — a deal is driven either by a single owner, or by a cycle team. This choice determines meeting assignment and visibility.
Centralization — quotes, meetings and notes for the same deal are all grouped under it. The deal's detail sheet shows the entire history at a glance.
Isolation per company — every deal, quote, meeting and note belongs to the current company; data is never visible from one company to another.
Roles & permissions
Access to each screen (Deals, Quotes, Meetings, Notes) and each action (create, delete) is governed by the user's profile privileges.

FAQ & real scenario
What's the difference between a deal and a quote?
The deal is the opportunity that lives over time and moves through stages. The cycle quote is a priced proposal attached to the deal — a deal can carry several successive quotes (revisions).
I can't mark my deal as "Lost"?
The chosen stage requires a loss reason. Select the reason from the list (configured in Loss reasons) to confirm.
How do I track overall performance?
The Cycle dashboard (first item in the Deals menu) aggregates the pipeline: estimated amount, breakdown by stage, win/loss rate.
Real scenario — a deal from end to end
Detection
At the Tech trade show, FONDS CLAIR expresses a need for IT equipment. The sales rep creates a deal "IT equipment fleet", origin Trade show, estimated amount 40,000 TND, stage Detection.
Qualification & meeting
A meeting "Requirements gathering" is scheduled; the minutes and a note ("decision-maker = CFO") are entered. The deal moves to the Qualification stage.
Quote & negotiation
A cycle quote for 38,500 TND is issued (status Opportunity), then Edited after a volume discount. The deal enters Negotiation.
Win
The customer accepts: the quote becomes Approved, the deal is marked Won. It can now be converted into a purchase order and then invoiced.
